From Spreadsheets to POS: Move Your Shop in a Day

Spreadsheets are where most shops start, and there is no shame in it. But there is a point where they stop helping: stock counts drift out of date, two people edit different copies, and you only spot a problem when it is already expensive. Moving to a proper POS sounds daunting — but with a little preparation it can happen in a single day, without closing the shop.

Why spreadsheets break down

  • They do not update themselves. Every sale should change your stock; a spreadsheet only changes when someone remembers to edit it.
  • They do not travel well. The "real" version lives on one laptop, and everyone else works from a guess.
  • They hide problems. Shrinkage, slow movers and pricing mistakes are hard to see in a grid of numbers.

What to prepare before you switch

Pull your product list into one clean sheet with these columns:

  1. Product name
  2. Selling price
  3. Cost price (so margins and profit work)
  4. Barcode or SKU (if you have them)
  5. Quantity on hand
  6. Category

Tidy up obvious duplicates and remove items you no longer sell. This single sheet is 90% of the work.

The switch, step by step

  1. Import your products. Upload the sheet, or hand it to a vendor who imports it for you.
  2. Set up your stations. Connect your receipt printer, scanner and drawer; add your logo to receipts.
  3. Add your staff. Create a login for each person with the right permissions.
  4. Do a quick stock count. Confirm the imported quantities match the shelves.
  5. Run a test sale. Ring up one real transaction end to end.
  6. Go live. Start selling on the new system; keep the spreadsheet as a backup for a week.

Keep selling while you switch

You do not need to close. Bring the new POS up on one station first, keep an old method running alongside for a day, and switch fully once you are confident. Because a good POS works offline, a network hiccup will not stop you mid-transition.
